Your privacy matters to us. This policy explains what personal information The Modern Therapist collects, why, how we look after it, and the choices and rights you have. We have tried to keep it clear and in plain English.
1. Who we are
The Modern Therapist is a training business for dental therapists and dental practices, run by Cat Edney. In this policy, “we”, “us” and “our” mean Cat Edney, trading as The Modern Therapist.
We are the “controller” of your personal information, which means we decide how and why it is used.

3. The information we collect
When you contact us: Your name, email address, phone number, your role (for example dental therapist or practice owner) and anything you include in your message.
When you book a call: Your name, email address, phone number, the date and time you choose, and any answers you give when booking. If the call is paid, payment details are handled by our payment provider (see section 7).
When you book a course: Your name, contact details, practice name, job role, and your GDC registration number so we can issue your verifiable CPD certificate. Billing details and a record of your payment. If you choose to tell us about dietary or access needs, we use this only to make the day work for you.
When your practice joins the Transformation Programme: Contact details for the practice owner and team members taking part, their roles, and information about how the practice runs that you choose to share (for example appointment, team and financial figures) so we can analyse it and make recommendations. Please do not share any information that identifies patients.
When you join the Confidence Club or our members’ area: Your name, email address, login details, membership and payment status, your progress through modules, and anything you post in the community.
When you sign up for emails: Your name, email address and preferences, and whether you open or click our emails.
When you use our websites: Technical information such as your IP address, browser and device type, pages visited and how you arrived, collected through cookies and similar technology (see section 11).
When you attend a course in person: We may take photos or video on the day. We will tell you when this is happening. We will always ask your permission before using a recognisable photo or video of you in our marketing.
When you give us a testimonial: Your words, name, role and practice, and a photo or video if you provide one. We only publish these with your permission.
Card payments: We never see or store your full card number. Payments are processed securely by our payment provider.
4. How we use it, and our legal reasons
Data protection law says we must have a valid reason (a “lawful basis”) for using your information. Here is what we use it for and why.
Answering your enquiry: Our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
Booking and running calls, courses, the programme and memberships, taking payment, and issuing CPD certificates: To perform our contract with you (or your practice).
Keeping financial and tax records: To meet our legal obligations.
Using any dietary or access needs you tell us about: Your explicit consent, which you can withdraw at any time.
Sending you our newsletter and marketing emails: Your consent. If you have bought from us before, we may email you about similar courses and services (you can opt out at any time).
Improving our websites and services, and keeping them secure: Our legitimate interest in running and improving our business.
Using photos, videos and testimonials in marketing: Your consent.
5. Marketing emails
We will only send you marketing emails if you have asked to receive them, or if you are an existing customer and have not opted out. Every email has an unsubscribe link, and you can also email us at cedneyevents@gmail.com to stop them at any time.
6. Where your information comes from
Most information comes directly from you. Sometimes a practice owner gives us the names and contact details of team members taking part in the Transformation Programme. If that applies to you, the practice should tell you, and this policy explains how we use your information.
7. Who we share it with
We never sell your personal information. We only share it with trusted service providers who help us run the business, who are only allowed to use it on our instructions:
Wix: Hosts our main website and its contact forms.
HeyClients (built on the HighLevel platform): Hosts our course pages and members’ area, and runs our customer records, bookings, payments, forms and emails.
Acuity Scheduling: Online booking for calls and consultations.
Stripe and PayPal: Process card payments securely.
Zoom: Video calls and online sessions.
Google: Our business email.
Peninsula Accounting Ltd: Bookkeeping and tax.
We may also share your name and any dietary or access needs with a course venue so they can prepare for the day, and we may share information if the law requires it, or with professional advisers such as lawyers or insurers.
8. Transfers outside the UK
Some of our service providers are based in, or store information in, the United States or other countries outside the UK. When this happens, we make sure appropriate safeguards are in place, such as the UK government’s approval of that country’s protections, the UK Extension to the EU-US Data Privacy Framework, or the UK’s approved data transfer agreements.
9. How long we keep it
Enquiries that do not lead to a booking: Up to 2 years after we last hear from you.
Course, programme and membership records, including CPD attendance: 6 years after the end of the year in which you last bought from us (for tax, insurance and so we can confirm CPD if asked).
Payment and invoice records: 6 years, as required for tax.
Dietary and access needs: Deleted within 3 months of the course.
Marketing email list: Until you unsubscribe, after which we keep only enough to make sure we do not email you again.
Photos, videos and testimonials: Until you ask us to stop using them.
10. Keeping it safe
We use reputable, secure systems, protect our accounts with strong passwords and two-step verification where available, and limit access to the people who need it. If a data breach ever puts your information at risk, we will tell you and the Information Commission where the law requires.
11. Cookies
Cookies are small files stored on your device. Some are essential for our websites to work (for example remembering what is in your basket or keeping you logged in). Others help us understand how people use the site so we can improve it. We only use non-essential cookies if you agree to them through our cookie banner, and you can change your choice at any time through the banner or your browser settings.
12. Your rights
You have the right to:
• ask for a copy of the information we hold about you
• ask us to correct anything that is wrong or incomplete
• ask us to delete your information
• ask us to limit how we use it
• object to us using it, including for marketing
• ask us to send it to you or another organisation in a reusable format
• withdraw your consent at any time, where we rely on consent
To use any of these rights, email cedneyevents@gmail.com. We will respond within one month. There is no charge in most cases. Some rights only apply in certain situations, and we will explain if one does not apply.
13. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can email cedneyevents@gmail.com or write to us at 266 Bellegrove Road, Welling, Kent, DA16 3RT. We will acknowledge your complaint within 30 days, look into it promptly, and keep you updated.
You also have the right to complain to the UK’s data protection regulator, the Information Commission (previously the Information Commissioner’s Office, ICO): ico.org.uk or 0303 123 1113.
14. Who our services are for
Our services are for dental professionals and practices. They are not aimed at children, and we do not knowingly collect information about anyone under 18.
15. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
